Administration Assistant

Main Tasks:

Reception:

  • Responsible for AHK / DEinternational Reception.
  • Greet visitors and customers and direct them to the requested department.
  • Answer all chamber’s incoming telephone calls and forward them to the requested person.
  • Responsible for info mail box, and transferring e-mails to concerned departments

Administration:

  • Responsible for the DE Head tickets & Hotel reservations.
  • Create and maintain an “in-stock” office supplies list and assist with the procurement procedure.
  •  Responsible for the DE petty cash and the corresponding “cash in/out”.
  • Responsible for creating the PO & Expense report for the messengers, General purchasing and the DE Head invoices.
  • In close coordination with the Finance Department: Create and maintain an inventory list using our CRM-System.
  • Manage the booking system of our meeting rooms
  • Responsible for Tracking of newspaper & magazine annual subscriptions
  • Risk Management: Assist Head Administration on general Risk Assessment obligations as defined by the DIHK (limited to operational HR-Risks / no HR-Risks)
  • Supervise / maintain the timely delivery of QM-Handbooks of our departments

Required Qualifications:

  • Relevant University Degree
  • Excellent written and spoken German, English and Arabic languages.

Visa Assistant

Main Tasks:

  • Dealing with members and clients of the Chamber concerning the Schengen visa

Main Tasks:

Main Tasks:
